A logistics company was launching a new project in Europe and needed to hire a local IT development team of 50 employees. Acvian helped the company choose between two potential launchpad countries, conducted research to optimize setup costs, hired the IT department through the EOR (Employer of Record) model in Poland, and managed payments for the office space to accommodate the team.
Employees onboarded: 50
Costs saved: approx. 20% in office setup and cost per employee
Time saved (as opposed to other hiring scenarios): 5 to 11 months

The company’s management was choosing between two locations for its new IT department – Spain or Poland. It was unclear in which country it would be easier and faster to hire highly skilled IT developers at an optimal per-employee cost and to rent a suitable office space for the team.
Acvian conducted pre-launch research, comparing tax and salary differences in the IT sector in both countries based on current benchmarks for specific positions. We also analyzed the costs of renting a 400 m² office to accommodate the projected 50 hires in preferred urban locations in Spain and Poland, including utility costs. As it turned out, Poland was the more lucrative option for the client company. Our team recommended exploring office rentals in Warsaw and Krakow, Poland’s major IT hubs, which offer a large availability of brand-new, well-equipped office spaces. In Spain, a similar budget would secure a less comfortable office in an older, more worn-out building.

The company took our advice and proceeded with opening an office in Poland. With the help of local recruiters, Acvian connected with suitable candidates and hired the IT team through the EOR (Employer of Record) model, saving the client approx. 20% on office setup and cost per employee compared to Spain, and avoiding the additional expenses and the 6-12 months setup process it would have required to establish a local entity. With our help, a few team members were successfully relocated to the Polish IT office from other countries.

Apart from a legally established presence in the country of your choice, it is preferable to partner with an EOR team that can provide in-person support and has a deep understanding of the local business landscape. As described in this case study, Acvian not only assists with the recruiting process and employs EOR-managed teams in Poland, but also provides data for launch cost optimization and administers payroll, office rentals, and utility bills on the client’s behalf – all thanks to our solid country-specific expertise and on-site team.
